Charters & Events

UMBC Transit has a robust, innovative, and efficient charter program for all your transportation needs. Charter services typically include Maryland, Washington D.C., southeastern Pennsylvania, northern Virginia, Delaware, West Virginia, and more. With fleet size ranging from 23 to 52 passenger buses, we can accommodate any immediate or future transportation request. If we’re unable to meet a transportation request, we are equipped to make arrangements with a reputable outside charter company on your behalf.

Charter Use Guidelines and Procedures

Charters must be educationally related and not undertaken for personal benefit or gain.

Transit requires at least 14 calendar days’ notice to process a charter request. There is an additional 18% administrative fee for any charter request under 14 calendar days or less. A charter is not confirmed until a written confirmation is received from UMBC Transit. Submission and receipt of a Charter Request Form does not guarantee service. By submitting a Charter Request Form, the sponsoring organization agrees to abide by all applicable UMBC Transit regulations. A copy of the regulations will be provided upon request. The sponsoring organization is responsible for all vehicle damage caused by charter participants.

Billing

Billing for charter services shall be done by Journal Voucher to authorized university accounts or invoice to affiliated foundation accounts. Student organizations must submit an approved Request for Expenditure of SGA Funds (RESGAF) with their charter request. A charter shall not be confirmed without the submission of an appropriate account number prior to the date of the charter.

Cancellation

The sponsoring organization must provide 72-hour advance notice of cancellation. Failure to do so will result in a cancellation fee of $180.00 (the cost of 2-hour minimum per trip transit bus); or $500 (the cost of 4-hour minimum per trip – motor coach) fees may be larger to compensate for lost wages and costs. The sponsoring organization must provide written notification to Transportation Services of changes in dates, times, or destinations. Changes made less than 48 hours before a trip departs or while a trip is in progress could result in additional charges.

Rates

UMBC Transit bases all estimates on time (including breaks and layovers) and mileage at the rates of $90 per hour (23-28 pass bus), $125 per hour (52. pass. motorcoach), and $4.00 per mile beyond the first thirty miles.

Flat Rates

Flat rate trips are available using either the large 52 passengers motorcoach bus or one of our smaller vehicles. This includes locations such as all four “local” airports BWI, Reagan, Dulles and Philadelphia.

Local airport flat rates round-trip costs are as follows:

  • Thurgood Marshall Airport (BWI) $500
  • Ronald Reagan Washington National Airport (DCA) $1000
  • Dulles International Airport $1250
